Project Assistant/Project Support Specialist

Leggat McCall Properties is seeking a Project Assistant/Project Support Specialist to support the development of the Future Cancer Hospital project, jointly led by Dana Farber Cancer Institute and Beth Israel Deaconess Medical Center. This individual will work closely with LMP, DFCI, and BIDMC high-level faculty, engineers, architects, and other vendors.

Responsibilities

  • Schedule time-sensitive meetings & events across multiple organizations; distribute agendas/materials and manage follow-ups.
  • Serve as a professional point of contact for senior faculty, physicians, executives, VIPs, and donors; handle communications with discretion.
  • Coordinate and conduct project tours and events with stakeholders and VIPs, including safety onboarding and other visitor logistics.
  • Support site access and onsite investigations by coordinating with vendors/consultants, confirming requirements, and tracking approvals.
  • Maintain core project administration tools.
  • Document control support.
  • Support project financial administration: attend budget/cost meetings; update tracking tools (meeting minutes, action logs, budget updates, CO tracking, commitments log, etc.).
  • Assist with processing, tracking, and reconciliation of vendor invoices and payment applications; coordinate with client accounting teams.
  • Participate in the preparation of regular client reports.

Qualifications

  • Exceptional organizational skills and attention to detail; able to manage multiple workstreams with competing deadlines.
  • Strong written/verbal communication; comfortable interacting with senior stakeholders.
  • High degree of discretion and professionalism.
  • Strong technology acumen. Proficiency in Outlook, Excel, PowerPoint, Teams, and Zoom.
  • Self-starter mindset: anticipates needs, follows through, and escalates proactively.

Experience & Education

  • Minimum 2 years of relevant experience in administration and/or project management
  • Experience working with contractors, architects, and engineers
  • Experience working with medical professionals or in a healthcare environment a plus
  • Bachelor’s degree in business administration, engineering, architecture, construction management, or closely related field preferred; equivalent experience considered
